Blank printable or filled online
This receipt template comes in two forms.
Filled online. The form above is preloaded with a sample receipt. Replace it with your own details and the template numbers the receipt, totals the lines, adds tax and writes the amount in words. Download the PDF to email or text, or print it.
Blank printable PDF. Download it, print a stack, and fill them in by hand. Useful at markets, events and job sites, or anywhere you take payment away from a computer.
Either way, a receipt records a payment you actually received for real goods or services. If the customer has not paid yet, send an invoice instead; the article on invoice vs receipt explains when to use which.
Sections of the receipt
- Your business: name, address, phone or email, and logo if you use the online version.
- Receipt number and date: the date is the day you received payment.
- Received from: the customer’s name.
- Description: what the payment was for, line by line, with quantity and price.
- Totals: subtotal, tax if it applies, and total paid.
- Amount in words: the total written out, as on a check.
- Payment method: cash, card, check, Zelle, Venmo or other.
- Notes: a check number, last four digits of a card, or a balance remaining.
Receipt numbering
Every receipt should carry its own number. It lets you and the customer refer to a specific payment and spot a missing receipt.
- Online: numbers are filled in automatically as RCT-0001, RCT-0002 and so on, and the last number is remembered in your browser.
- On paper: pre-number your printed stack before you use it, or keep a simple log with the number, date, customer and amount.
- Mistakes: if you spoil a handwritten receipt, write VOID across it and keep it, so your sequence has no unexplained gaps.
Payment receipts for cash
Cash leaves no bank record, which is exactly why a written receipt matters for both sides. When you accept cash:
- Count the money in front of the customer.
- Write the amount received in figures and in words.
- Tick or select cash as the payment method.
- Give the customer the original and keep a copy.
Worked example: music lessons paid in cash
A music teacher is paid in cash for a month of lessons and a lesson book:
- Piano lessons: 4 × $35.00 = $140.00 (not taxable in this example)
- Lesson book: 1 × $12.00 = $12.00 (taxable)
- Subtotal: $152.00
- Tax (example rate of 6% on the $12.00 book): $0.72
- Total paid: $152.72
- In words: One hundred fifty-two and 72/100 dollars
- Payment method: Cash
Sales tax rules depend on your state and locality. Check with your state revenue agency or a tax professional before deciding what to tax.
Deposit example
A customer pays a $200.00 deposit toward a $600.00 job. The receipt shows $200.00 received, and the notes say “Deposit toward kitchen shelving job, balance of $400.00 due on completion.”
Keeping a copy
Keep a copy of every receipt you issue, along with your other sales records.
- Online receipts: download the PDF and save it to a folder you back up. Drafts are kept in your browser, but clearing browser data removes them, and nothing is stored on our servers.
- Handwritten receipts: use duplicate copies with carbon paper, or photograph each receipt before handing it over.
How long and in what form to keep records is a question for your tax professional.
Need more than a template?
