Two ways to use this invoice template

This page gives you the same invoice layout in two forms. Pick whichever fits how you work.

Fill it online. The form above is preloaded with sample content so you can see how a finished invoice looks. Replace the sample text with your own, and the template calculates line totals, discount, tax and balance due as you type. When it looks right, download the PDF or print it. Nothing is uploaded; the document is built in your browser.

Print it blank. Download the blank printable PDF and fill it in with a pen. This works well for tradespeople, market sellers and anyone who sometimes needs to hand over an invoice where there is no laptop or printer.

Anatomy of the template, section by section

The top of the template holds your logo, business name, address, phone and email. On the right sits the word “Invoice” with the invoice number. Keep your header identical on every invoice so clients recognize your documents.

Bill to

The client’s name or company and their billing address. If the work was done at a different location, note that address in the notes section instead of replacing the billing address.

Invoice details

Line items table

Four columns: description, quantity, rate and amount. Each amount is quantity times rate. Write descriptions the client will recognize later, such as “Logo design, three concepts and final files” rather than “Design work”.

Totals block

Subtotal, discount, tax, shipping, total, amount paid and balance due. The discount comes off before tax. Leave rows blank when they do not apply.

Notes and payment instructions

Tell the client how to pay, what reference to include, and anything else they need. A short thank-you line is a nice touch.

Worked example

A designer bills a small business using the template:

No tax is shown in this example. Whether your products or services are taxable depends on your state and locality; check with your state revenue agency or a tax professional.

If you fill in the blank version by hand, add the line amounts twice, top to bottom and bottom to top, before you write the total. It catches most arithmetic slips.

How to customize the template

When you fill the template online you can:

  1. Switch designs between Classic, Modern and Compact without retyping anything.
  2. Change the paper size to US Letter or A4.
  3. Change the currency if you bill clients abroad.
  4. Upload your logo, which stays on your device.
  5. Save as template so your business details and logo load automatically next time.
  6. Mark lines as non-taxable so tax only applies where it should.

When a printed or spreadsheet template stops working

Paper and spreadsheet templates are fine for an occasional invoice. They start to cause trouble when:

Filling the template online solves these without changing how your invoice looks: numbers run in sequence, totals calculate in a fixed order, and the due date follows from the terms you choose. You can open the full invoice generator any time, and the guide on how to make an invoice walks through every field. As your volume grows further, accounting software that tracks payments across many clients may be worth a look.
